Green Writer Privacy Policy

Just as we advocate for responsible stewardship of the environment, we apply the same principles to your personal data. Green Writer is a sustainable living education platform committed to transparency, ethical data practices, and your right to know exactly how your information is used.

This policy applies to all visitors and registered users of greenwriter.org. Please read it alongside our Terms of Service.

1. What Data We Collect and Why

We collect only the data necessary to provide and improve our sustainable living education content. Specifically, we collect:

Usage analytics: Page views, session duration, and engagement interactions. This data, processed in aggregate through Google Analytics 4, helps us understand which environmental education topics resonate most so we can improve our editorial mission and content approach.

Email address: When you subscribe to our newsletter or contact us directly, we collect your email address to send you sustainability guides, platform updates, and educational resources. You can unsubscribe at any time via the link in any email we send.

We do not collect data beyond what is described here, and we never use your data for purposes other than those stated.

2. Personal Identifiers and Technical Data

When you visit Green Writer, our web servers automatically log certain technical identifiers, including your IP address, browser type, operating system, and referring URL. This data is used solely to diagnose technical issues, prevent abuse, and maintain platform security.

IP addresses are anonymized before storage and are not used to identify you personally. Device and browser information is retained in aggregated form for up to 14 months, after which it is automatically deleted.

3. Lawful Basis for Processing

Green Writer processes personal data under the following lawful bases as defined by the General Data Protection Regulation (GDPR):

Legitimate interests: Analytics and security monitoring, where our interest in improving the platform does not override your privacy rights.

Consent: Email communications and optional cookies, which you may withdraw at any time.

Legal obligation: Where applicable law requires us to retain or disclose certain records.

If you are a California resident, please see Your Rights Under GDPR and CCPA for information specific to the California Consumer Privacy Act (CCPA).

5. Third-Party Services and Data Sharing

Green Writer does not sell your personal information to any third party, and we do not share your data for marketing or advertising purposes.

We use the following third-party processors, each bound by data processing agreements consistent with GDPR requirements:

Google Analytics 4 (traffic analysis) — data stored in the EU where possible, with IP anonymization enabled. Mailchimp (email distribution) — used only when you have explicitly subscribed to our newsletter.

If we are required by law to disclose your information — for example, in response to a valid court order — we will notify you to the extent permitted by law.

6. Security Measures and Data Retention

We protect your data using TLS 1.3 encryption for all data in transit and AES-256 encryption for data at rest. Our hosting infrastructure is audited annually for security vulnerabilities, and access to personal data is restricted to authorized personnel only.

We retain personal data only as long as necessary: email addresses are kept for the duration of your subscription plus 30 days after unsubscription; anonymized analytics data is retained for 14 months. If you request deletion of your account, all associated personal data is permanently removed within 30 days.

7. Your Rights Under GDPR and CCPA

Depending on your location, you have the following rights regarding your personal data:

  • Right of access: Request a copy of the personal data we hold about you.
  • Right to rectification: Ask us to correct inaccurate or incomplete data.
  • Right to erasure (“right to be forgotten”): Request deletion of your personal data, subject to legal retention obligations.
  • Right to restriction: Ask us to limit how we process your data in certain circumstances.
  • Right to data portability: Receive your data in a structured, machine-readable format.
  • Right to object: Object to processing based on legitimate interests or for direct marketing.
  • CCPA rights (California residents): Know what personal information is collected, opt out of any sale of personal information (we do not sell data), and request deletion of your data.

To exercise any of these rights, please contact us at privacy@greenwriter.org. We will respond within 30 days. You also have the right to lodge a complaint with your national data protection authority.

8. Changes to This Privacy Policy

We may update this policy periodically to reflect changes in our practices, legal requirements, or platform features. When we make substantive changes, we will notify subscribed users by email at least 14 days before the changes take effect, and post the updated policy here with a revised “Last updated” date and a brief summary of what changed.

We encourage you to review this page periodically. Continued use of Green Writer after changes take effect constitutes acceptance of the revised policy.
